The Goethe-Institut Myanmar is seeking a dedicated and professional colleague for the position of Receptionist (40 hours a week) starting from 15 November 2024 (initially for a limited period of one year, with the option for extension).

Position Requirements:

  • Bachelor’s degree or equivalent; two to three years of professional work experience in a similar role; additional qualifications in customer service, communications, administration, or a related field are preferred.
  • Proficiency in English is required; knowledge of German is advantageous.
  • Strong verbal and written communication skills are required for interacting with visitors, guests, and students; customer service experience is preferred.
  • Ability to manage multiple tasks, maintain schedules, prioritize effectively, and have a good command of time management.
  • Proficiency in Microsoft Office Suite and familiarity with office equipment.
  • Ability to work collaboratively and contribute to a positive work environment.
  • Strong problem-solving skills and a calm approach to unexpected situations or challenging customer experiences.
  • Willingness to work flexible hours as required.
  • A professional demeanor, a friendly customer-oriented attitude, and strong communication and teamwork skills are required.

As a receptionist at our institute, your responsibilities will include:

  • Perform a variety of reception duties, including greeting and welcoming visitors, notifying appropriate staff or departments of visitor arrivals, and directing them to various locations.
  • Operate and manage the central telephone system, answer and transfer calls, take messages, and provide basic information
  • Handle incoming and outgoing mail.     
  • Maintain daily attendance reports in the event of emergencies.
  • Order of office supplies, stationary or event materials as needed.
  • Maintain the office vehicle log and manage booking for vehicle usage.
  • Book flights and hotel accommodations for staff and visitors, ensuring compliance with travel policies.
  • Assist with contract preparation and coordinate the rental of the auditorium, including bookings and arrangements.
  • Assist with the security, health, and safety protocols of the institute.
  • Provide general administrative tasks and clerical support.
  • Assist with the implementation of events at the institute
  • Other tasks according to agreement
